Job Description

Our West area client is seeking a temporary Administrative Assistant for a project within their Land and Marketing Department.  

Essential Job Duties:

  • Perform diversified administrative tasks
  • Screen telephone calls and visitors
  • Set up and coordinate meetings and conference calls and rooms
  • Coordinate domestic and international travel related logistics (flight, cars, hotels, etc.)
  • Type correspondence and reports using word processing software; editing formatting, grammar, punctuation or spelling as needed
  • Schedule and make necessary arrangements for luncheons, meetings and teleconferences
  • Follows through on requests to submit correspondence and documents through overnight mail or courier services
  • Perform scanning, copying, and faxing to support department
  • Prepare expense reports and gather documentation
  • Communicate and interact with internal contacts and external vendors, customers, and the public when needed.
  • Assist with special projects

Qualifications Required:

  • Minimum 2 years of experience supporting Managers and/or staff preferably in the Energy, Manufacturing, and Oil and Gas industries.
  • Proficiency in Microsoft Word, Excel, Outlook and PowerPoint
  • Ability to demonstrate a high degree of professionalism
  • Ability to manage high levels of stress
  • Ability to work in a team setting with diverse personalities
  • Excellent grammatical, editing and proofreading skills
  • Excellent organizational and prioritization skills
