Job Description



Essential Duties and Responsibilities

  • Arrange flight/hotel/vehicle for Vice President of Engineering whenever he travels
  • Arrange meetings and secure conference rooms
  • Arrange breakfast/lunch deliveries as needed for meetings
  • Provide call in info for conference calls
  • Set up and clean up conference rooms for planned/scheduled meetings
  • Answer calls as needed
  • RSVP events for VP of Engineering
  • Copy/Scan documents as needed
  • Review expense reports/scan/forward to AP for processing
  • Keep electronic copies of all expense reports in electronic files on each individual within the Eng. Dept.
  • Sort and distribute incoming mail within the Eng/Maint Depts.
  • Maintain/Order office supplies
  • Prepare templates for business card orders
  • Work on Eng. projects as needed (spreadsheets, binding documents,…)
  • Maintain a current list of Eng/Maint. employees extensions and phone numbers
  • Maintain a current list of office/workstation assignments
  • Secure a workstation/office for new Eng/Maint. Employees
  • Contact IT to set up computer/phone for new Eng/Maint. Employees
  • Contact IT for issues that arise within the areas of the copy machine, plotter and printers

Experience: 

3-5 years of experience in the field or in a related area

  • Possess strong interpersonal and organizational skills
  • Strong attention to detail
  • Competent in handling sensitive and confidential information
  • Proficient in Microsoft Office suite/SAP experience a plus
  • Professional appearance and demeanor
